This Privacy Policy applies to RoleStack ("RoleStack", "we", "our", or "us"), the operator of the RoleStack AI-powered job search platform, accessible at https://www.rolestack.ai and through our associated applications and services (collectively, the "Platform").

This policy applies to all users of the Platform - whether you are a visitor browsing our website, a registered free user, or a paid subscriber. It describes how we collect, use, store, protect, share, and otherwise process personal information about you ("Personal Data") in connection with your use of our services.

By accessing or using our Platform, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with this policy, please discontinue using our services.

Our core commitment: We will never sell your personal information to third parties for their own marketing or advertising purposes. Your data exists to serve your job search - that's it.

2. Information We Collect

We collect different categories of information depending on how you interact with our Platform. Below is a detailed breakdown:

2.1 Account & Registration Information

When you create an account, we collect:

  • Full name - to personalize your experience and address correspondence
  • Email address - for account authentication, communication, and notifications
  • Password - stored in encrypted (hashed) form; we never store plaintext passwords
  • LinkedIn profile URL (optional) - to pre-populate your profile and optimize your professional presence
  • Activation code (optional) - to associate your account with a promotional or partner program

2.2 Professional & Career Information

To operate our AI-powered job matching and application services, we collect detailed professional information, including but not limited to:

  • Resume content - including work history, job titles, employers, dates of employment, education, certifications, and skills
  • Job preferences - including desired job titles, industries, locations, remote work preferences, salary expectations, and employment types
  • Geographic preferences - including preferred cities, states, or countries for job opportunities
  • Exclusions and restrictions - companies or job types you wish to exclude from your applications
  • Cover letter preferences and tone/style preferences for AI-generated communications
  • LinkedIn profile data you choose to import or connect
  • Any other professional information you voluntarily upload or input into your profile

2.3 Job Application Activity Data

As part of our core service, we collect and generate data related to your job search activity:

  • Jobs matched, presented, approved, or rejected by you
  • Job applications submitted on your behalf, including dates, employer names, job titles, and application status
  • Resume versions and tailored cover letters generated by our AI for specific applications
  • Application responses, interview invitations, and status updates communicated through the Platform
  • Recruiter contact information retrieved in connection with your applications

2.4 Subscription & Payment Information

When you subscribe to a paid plan, we collect:

  • Subscription plan selected and billing start date
  • Payment transaction identifiers and subscription status (provided by our payment processor, Stripe)
  • Billing history and invoices

We do not directly collect or store full credit card numbers, CVV codes, or full bank account details. All payment data is processed and stored by Stripe in accordance with PCI-DSS standards.

2.5 Usage & Analytics Data

We automatically collect certain usage data when you interact with our Platform:

  • Pages visited, features used, and time spent on the Platform
  • Button clicks, navigation paths, and interaction events
  • Search queries and filters applied within the Platform
  • Feature adoption and engagement metrics
  • Error logs and crash reports to help us diagnose and fix technical issues

2.6 Device & Technical Information

  • IP address and approximate geolocation (country/region level)
  • Browser type and version
  • Operating system and device type
  • Referring URLs (the page you were on before visiting our Platform)

If you contact us directly - via email, support tickets, bug reports, or in-app chat - we collect the content of those communications, including your name, email, and any information you choose to include.

3.1 Directly From You

The majority of your personal information is collected directly from you when you:

  • Register for an account and complete your profile
  • Upload or input your resume, career history, and job preferences
  • Set up job automation and application preferences
  • Purchase a subscription or credit add-on
  • Contact our support team or submit feedback
  • Participate in surveys, promotions, or beta programs

3.2 Automatically Through Technology

We automatically collect usage and technical data using cookies, web beacons, pixel tags, and analytics tools as you interact with our Platform. See Section 7 for more details on our cookie practices.

3.3 From Third-Party Sources

We may collect information from third-party sources, including:

  • LinkedIn - if you connect your LinkedIn account or provide a LinkedIn URL, we may retrieve publicly available profile information to enhance your RoleStack profile
  • Stripe - payment status, subscription data, and billing confirmations
  • Job boards and employer databases - job listing data matched to your profile for application purposes
  • Google Analytics (GA4) - aggregated usage and behavior analytics to understand Platform performance

4. How We Use Your Information

We use the information we collect for specific, legitimate purposes directly related to providing and improving our services:

4.1 Service Delivery

  • Creating and managing your RoleStack account
  • Matching you with relevant job opportunities based on your profile and preferences
  • Generating AI-tailored resumes and cover letters for specific job applications
  • Automating and submitting job applications on your behalf as directed by you
  • Tracking application statuses and presenting progress updates in your dashboard
  • Processing subscription payments and managing your billing cycle

4.2 Platform Improvement & AI Training

  • Analyzing usage patterns to identify and fix bugs, improve performance, and enhance features
  • Using aggregated, de-identified data to improve the accuracy and effectiveness of our AI matching and content generation models
  • Conducting A/B testing and product research to deliver a better user experience

AI Training Notice: We may use de-identified or anonymized data from user interactions to train and improve our AI models. We will never use your personally identifiable resume content or application data to train models in ways that could expose your identity to other users or third parties.

4.3 Communication

  • Sending transactional emails - account confirmations, password resets, payment receipts, subscription renewal reminders
  • Sending service notifications - job match updates, application status changes, feature announcements
  • Responding to support requests, bug reports, and inquiries
  • Sending product updates, newsletters, and marketing communications (you may opt out at any time)

4.4 Legal & Compliance

  • Complying with applicable laws, regulations, and legal obligations
  • Detecting and preventing fraud, abuse, and security incidents
  • Enforcing our Terms of Service and other policies
  • Responding to lawful requests from government authorities or law enforcement

6. How We Share Your Information

We do not sell, rent, or trade your personal information to third parties for their own commercial or marketing purposes. Period.

We may share your information in the following limited circumstances:

6.1 With Employers & Recruiters (Core Service)

By using RoleStack, you explicitly direct us to share your professional information - including your tailored resume, cover letter, and application materials - with employers and recruiters on your behalf. This is the fundamental purpose of our service. You retain control over which jobs you approve for application. We will only submit applications to employers for jobs you have explicitly approved.

6.2 With Service Providers (Data Processors)

We engage trusted third-party service providers who process data on our behalf, strictly under our instructions and in accordance with this Privacy Policy:

  • Stripe - payment processing and subscription management. Stripe is PCI-DSS compliant.
  • Cloud infrastructure providers (e.g., AWS, Google Cloud) - secure hosting and data storage
  • AI and machine learning providers - powering our resume tailoring, job matching, and content generation features
  • Analytics providers (Google Analytics GA4) - aggregated usage analytics to improve our Platform
  • Email and communication providers - for delivering transactional and service notifications

All service providers are contractually bound to use your data only for the specified purposes and to maintain appropriate security measures.

6.3 For Legal Compliance & Protection

We may disclose your information to third parties if we believe such disclosure is necessary to:

  • Comply with applicable laws, regulations, legal processes, or government requests
  • Enforce our Terms of Service or other agreements
  • Protect the rights, property, or safety of RoleStack, our users, or the public
  • Detect, prevent, or address fraud, security threats, or technical issues

6.4 Business Transfers

In the event of a merger, acquisition, asset sale, or reorganization, your personal information may be transferred as part of that transaction. We will notify you by email and/or prominent notice on our Platform before your personal data is transferred and becomes subject to a different privacy policy, and you will have the opportunity to delete your account if you do not wish your data to be transferred.

We may share your information with additional third parties when you provide explicit consent to do so. You may withdraw such consent at any time.

7. Cookies & Tracking Technologies

RoleStack uses cookies and similar tracking technologies to operate our Platform, remember your preferences, analyze usage, and improve our services. A "cookie" is a small text file stored on your device when you visit our Platform.

7.1 Types of Cookies We Use

Essential / Strictly Necessary Cookies

Required for the Platform to function. These include session cookies that keep you logged in, security tokens, and cookies that store your preferences within the current session. These cannot be disabled without breaking core functionality.

Authentication Cookies

Used to identify you as a logged-in user and maintain your session across pages. These store JWT authentication tokens locally in your browser to keep you securely logged in.

Analytics Cookies

We use Google Analytics 4 (GA4) to collect anonymized information about how users interact with our Platform - including pages visited, features used, and session duration. This data helps us understand what's working well and what needs improvement. Google Analytics data is aggregated and does not identify you personally.

Preference Cookies

Used to remember your settings and preferences, such as dark mode, language preferences, and notification settings, so we can provide a more personalized experience across sessions.

7.2 Managing Cookies

Most web browsers allow you to control cookies through their settings preferences. You can typically set your browser to refuse cookies, delete cookies, or notify you when cookies are being sent. However, please note that disabling essential or authentication cookies will prevent you from logging in and using RoleStack's services.

You can opt out of Google Analytics tracking across all websites by installing the Google Analytics Opt-out Browser Add-on available at tools.google.com/dlpage/gaoptout.

7.3 Local Storage

In addition to cookies, RoleStack uses browser local storage to preserve your session state and user preferences between visits. This data is stored on your device and is not transmitted to our servers unless you are actively using the Platform.

8. Data Storage & Security

8.1 Where We Store Your Data

Your personal data is stored on secure cloud infrastructure operated by reputable providers with industry-standard security certifications. Data may be stored and processed in the United States and other jurisdictions where our service providers operate. Please see Section 12 for information on international data transfers.

8.2 Security Measures

We implement a comprehensive set of technical and organizational security measures to protect your personal data against unauthorized access, accidental loss, destruction, or alteration:

  • Encryption in transit: All data transmitted between your device and our servers is encrypted using TLS (Transport Layer Security) protocols
  • Encryption at rest: Sensitive stored data, including passwords and authentication tokens, is encrypted using industry-standard algorithms
  • Password hashing: User passwords are hashed using secure, salted cryptographic hash functions - we never store plain-text passwords
  • Access controls: Access to user data within RoleStack is restricted to authorized personnel on a need-to-know basis
  • Security monitoring: We monitor our systems for suspicious activity, vulnerabilities, and potential breaches
  • Payment security: All payment processing is handled by Stripe, a PCI-DSS Level 1 certified payment processor - we do not store credit card data on our servers

8.3 Security Incident Response

In the event of a data breach that affects your personal information, RoleStack will notify you and relevant authorities as required by applicable law - typically within 72 hours of becoming aware of the breach. Notification will be sent to your registered email address and/or through in-app notifications.

Your role in security: While we take extensive measures to protect your data, no system is 100% secure. You are responsible for keeping your login credentials confidential, using a strong password, and promptly notifying us if you suspect unauthorized access to your account at support@rolestack.ai.

9. Data Retention

We retain your personal data only for as long as is necessary to fulfill the purposes for which it was collected, or as required by applicable law. Our retention practices are as follows:

When data is no longer needed, we securely delete or anonymize it in accordance with industry standards. You may request early deletion of your data - see Section 10 for your data rights.

10. Your Privacy Rights

Depending on your location, you may have certain rights regarding your personal data. RoleStack is committed to honoring these rights promptly and transparently. The following rights are available to all RoleStack users regardless of location:

You have the right to request a copy of the personal data RoleStack holds about you, including what data we have, how we use it, and whom we share it with.

You have the right to request correction of any inaccurate or incomplete personal data we hold about you. Most profile information can be updated directly within your account settings.

You have the right to request that RoleStack delete your personal data. Upon a valid deletion request, we will delete your account and personal data within 30 days, subject to our legal retention obligations (e.g., financial records required by tax law).

You may opt out of marketing communications at any time by using the "unsubscribe" link in any marketing email, or by contacting us directly. You may also object to certain processing activities based on legitimate interests.

Right to Restrict Processing

In certain circumstances, you have the right to request that we restrict the processing of your personal data - for example, while a dispute regarding accuracy is being resolved.

How to Exercise Your Rights

To exercise any of the rights above, please email us at privacy@rolestack.ai with the subject line "Privacy Rights Request" and include:

  • Your full name and registered email address
  • The specific right you wish to exercise
  • Any relevant details to help us locate and process your request

We will respond to all valid requests within 30 days. In complex cases, we may extend this period by up to an additional 30 days, in which case we will notify you of the extension. We will not charge a fee for reasonable requests, but may charge a reasonable administrative fee or decline manifestly unfounded or excessive requests.

11. California Privacy Rights (CCPA / CPRA)

If you are a California resident, the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA) provide you with additional rights regarding your personal information.

11.1 Categories of Personal Information Collected

In the past 12 months, we have collected the following categories of personal information as defined by the CCPA:

  • Identifiers (name, email address, IP address)
  • Personal information categories listed in the California Customer Records statute (payment information, employment history)
  • Professional or employment-related information (resume, work history, job preferences)
  • Internet or other electronic network activity information (usage data, browsing history on our Platform)
  • Geolocation data (approximate location based on IP address)
  • Inferences drawn from the above to create a profile about you for job matching purposes

11.2 Your California Rights

  • Right to Know: You may request details about the categories and specific pieces of personal information we have collected about you
  • Right to Delete: You may request deletion of personal information we have collected from you, subject to certain exceptions
  • Right to Correct: You may request correction of inaccurate personal information
  • Right to Opt Out of Sale / Sharing: RoleStack does not sell or share personal information for cross-context behavioral advertising
  • Right to Non-Discrimination: We will not discriminate against you for exercising your CCPA rights
  • Right to Limit Sensitive Information Use: You may direct us to limit the use of sensitive personal information to that which is necessary to perform the services

12. International Data Transfers

RoleStack is based in the United States, and your personal data may be stored and processed in the United States or other countries where our service providers operate. These countries may have data protection laws that differ from those in your home country.

If you are located in the European Economic Area (EEA), the United Kingdom, or Switzerland, and we transfer your personal data to countries not recognized as providing an adequate level of data protection, we implement appropriate safeguards to ensure your data is protected, including:

  • Standard Contractual Clauses (SCCs) approved by the European Commission
  • Adequacy decisions by the relevant supervisory authority
  • Binding corporate rules, where applicable

By using RoleStack's services, you acknowledge and consent to the transfer of your personal data to the United States and other jurisdictions as described in this section.

13. Children's Privacy

RoleStack's services are not directed to, and we do not knowingly collect personal information from, individuals under the age of 18. Our Platform is intended solely for adults who are legally eligible to enter into employment and contractual relationships.

If you are a parent or guardian and believe that your child under the age of 18 has provided us with personal information, please contact us immediately at privacy@rolestack.ai. We will take prompt steps to delete such information from our systems.

If we discover that we have inadvertently collected personal information from a child under 18, we will delete that information as quickly as reasonably possible and terminate the associated account.

14. Third-Party Links & Services

Our Platform may contain links to external websites, employer career pages, job boards, or third-party services (such as LinkedIn). Once you click on a link to a third-party site, you leave the RoleStack Platform, and this Privacy Policy no longer applies to the information collected by those third parties.

We are not responsible for the privacy practices or content of third-party websites or services. We encourage you to review the privacy policies of any third-party sites you visit before providing any personal information.

Employer career portals and job boards may independently collect information about you when you apply for jobs. RoleStack is not responsible for the data practices of employers or job boards who receive your application materials.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our data practices, legal requirements, or Platform features. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this page
  • Send an email notification to your registered email address
  • Display a prominent in-app notice on your next login

Your continued use of RoleStack's Platform after the effective date of the revised Privacy Policy constitutes your acceptance of the updated policy. If you do not agree to the updated policy, you must stop using our services and may request deletion of your account data.

For non-material changes (such as clarifications or minor editorial updates), we will update the "Last Updated" date but may not provide direct notification. We encourage you to review this policy periodically.
